Step-by-Step Guide: Updating Your Client Area for e-Invoice Regulation


[ IMPORTANT] Before we start the tutorial, kindly have the following information prepared:
Name
Company name (if applicable)
Identification Card Number (IC) / Passport Number / Business Registration Number
Tax Identification Number (TIN)
Sales and Service Tax Number (if applicable)
Address
Valid Phone Number



Visit our official site e.g. http://www.web-hosting.net.my/ and Click “Login”. For new customers, you need to sign up first.



After clicking “Login”, you shall see a page like this and login your client area account as usual.



Go to the upper right side, Click “Hello, xxxxxx! (Your Name)” followed by “Account Details”



(Notes: This is a sample user to guide our clients in updating their Client Area Profile)

This is where you can manage and update your personal or company information.

You will see your current information as below.



After that, please focus on steps 4 to step 13, as these are the requirements set by Lembaga Hasil Dalam Negeri (LHDN) for the e-Invoice that need to be filled out by our clients.

First Name, Last Name, and Company Name.

You can fill your first and last name based on your Malaysian Identical Card (IC) or your passport (Foreign). If you decide to fill up your full name in the first name column, you may leave the last name column empty.

If you have a registered company, and you wish the e-Invoice will be under your company’s name, you may fill up your company name by referring to your SSM certificate or other local authorities documents. If you are Foreign Company (outside Malaysia), you may follow your original country's business registration.


As if you have no registered company to be filled up, you may leave the company column empty.

Please note that some of our customers have registered with the exact same name in our client area profile. We will make the necessary changes or adjustments to differentiate between them, as our e-Invoice system cannot process duplicate names.

For example :
First Customer - AHMAD DANIAL BIN ADRIAN
Second Customer - AHMAD DANIAL BIN ADRIAN (2)
Third Customer - AHMAD DANIAL BIN ADRIAN (KLANG)

Please do not worry, as this adjustment will be made by our dedicated staff. If you have any inconvenience regarding this issue, please do not hesitate to contact us.

Type of Entity

You have four options to select either

Malaysian Company

Malaysian Individual

Foreign Company

Foreign Individual

This selection will reflect step 4. That means if you select Malaysian Company / Foreign Company, the system will follow the company column that you fill up in step 4. While if you select Malaysian Individual / Foreign Individual, the system will refer to your first and last name.

Importance! Please note that this section is the most important part, as you will need to fill in your data from step 6 to step 13 based on the selection in this section. Choose wisely.

If your organisation or entity does not fall under all the categories or options available, you may refer to our Sales or Billing Department for your assistance. Our team is fully dedicated to providing you with exceptional service and assistance.

Additional Notes! A company refers to an organization that includes associations, bodies of persons, branches, business trusts, co-operative societies, corporations, limited liability partnerships (LLP), partnerships, property trust funds, property trusts, real estate investment trusts (REIT), representative offices and regional offices, trust bodies, and unit trusts.

Registration Number Type

You have three options to select either

Identification Card ID - for Malaysian Individual

Passport ID - for Foreign Individual

Business Registration No. (BRN) - for Malaysian/Foreign Company/Organisation



If you select 'Malaysian Individual' in step 5, you will need to choose an Identity Card ID.

If you select 'Foreign Individual' in step 5, you will need to select a Passport ID.

If you select either 'Malaysian Company' or 'Foreign Company,' you may choose a Business Registration No.

Registration Number / ID

Fill up the Identification / Registration Number based on your selection in step 6.

Malaysian Company - refer your SSM Number / other local authorities

Malaysian Individual - refer your Identification Card (IC) number

Foreign Company - refer your original country of incorporation number

Foreign Individual - refer your passport number





Old Registration Number (Optional)

This is optional for Malaysian Companies to fill up their old or shorter Business Registration Number. Eg: 678910-H



You may leave this section blank if not applicable.

Tax ID Number (TIN)



Importance! Customers need to fill up their TIN number based on the Type of Identity (Individual/Company).

Please refer to LHDN to obtain your dedicated TIN (Taxpayer Identification Number).

For foreign customers, you can fill up this column if you have a Malaysian TIN number or otherwise you may ignore this part and leave it empty.

You may refer table below as for your guidance:



SST Registration Number



You may fill in this column if your company is registered for Malaysia’s SST (Sales and Service Tax).

You may leave this section blank if not applicable.

Address


Please update your address accordingly with the section given as per attachment.

If your registered street/building/area address is too long, you may split your street address into Address 1 and Address 2. However, if Address 1 is sufficient, you may leave the Address 2 field empty.

You are also required to split your address into separate fields for City, State/Region, Zip Code (Postcode), and Country in the dedicated columns.

Importance! For Malaysian Address, your State/Region has to be in Johor, Kedah, Kelantan, Melaka, Negeri Sembilan, Pahang, Pulau Pinang, Perak, Perlis, Selangor, Terengganu, Sabah, Sarawak, Wilayah Persekutuan Kuala Lumpur, Wilayah Persekutuan Labuan, Wilayah Persekutuan Putrajaya.

You should not use short forms or add any state titles or unnecessary words in the State/Region column. Only Negeri Sembilan should include 'Negeri' in the column; other states should only include their names.

These are examples of State/Region formats that should be avoided:

Penang

W.P.K.L.

W.P. Putrajaya

Selangor Darul Ehsan

Sarawak Bumi Kenyalang

Melaka Bandaraya Bersejarah

For Foreign Address (countries other than Malaysia), please follow the format of your registered address in the respective country. You are also required to split your address into separate fields for City, State/Region, Zip Code (Postcode), and Country in the dedicated columns.

Email Address



You are required to fill in your valid email address.

You may keep your current email address the same as your login. Any e-Invoice will be sent to this email address.

Changing this will affect your current login. Please contact our staff for assistance if you wish to change your current email address.

Important! Please be aware that you will receive an email notification from our third-party system, Bukku (cloud-based accounting software), regarding your e-Invoice documents.

Phone Number

Please choose a country code and fill in a valid phone number.



Click on the section with the flag, scroll down to select the country code, and then proceed to add your phone number next to it.

Final Step

After reviewing your details, don't forget to save the updates by scrolling to the bottom of the page and click 'Save Changes' to complete the process.
